On this page
Tasks have three views: Year · Overview · Triage. On the iPhone there are Year and Overview.

Overview
A board with columns based on the state of each task. In the English app the default column names are in English; in the Czech app they’re Czech:
| Column | What’s in it |
|---|---|
| Today (Dnes) | Tasks due today or overdue. |
| Inbox | New tasks without a priority or category. |
| Work (Práce) | Work tasks. |
| Scheduled (Termínovaný plán) | Tasks with a future due date. |
| Backlog | Tasks with a priority and category but no due date. |
| Sub-goals, Goals {year} | Steps and yearly goals. |
| Bookmark | Links for later. |
Priorities are P1–P5. The built-in categories are Work, Home, Hobbies, Idea, Family, Finance, Sport, Personal growth and Bookmark — and you can add your own. Move tasks by dragging. On the board, use J / K (down and up) and H / L (between columns); Enter opens the detail.
You can park a task as Someday or Not now — it stays hidden until you bring it back.
Quick add
➕ New task (or ⌘ N in Tasks) understands Czech. For example:
zítra v 15:30 P1 Práce: e-mail Petrovi
(tomorrow at 15:30, priority P1, category Work: e-mail Peter)
- Date: dnes, zítra, pozítří (today, tomorrow, the day after), weekdays, “příští týden” (next week), “o víkendu” (at the weekend), “1. 10.” and so on.
- Time: “v 15”, “ve 9:30”, “15:30”.
- Priority: P1–P5. Category: the category name, ideally followed by a colon.
- Recurrence: denně, každý týden, měsíčně, pracovní dny… (daily, every week, monthly, weekdays)
- Several tasks at once = one per line.
Dates, times and recurrence parse in Czech only; English words like “tomorrow” aren’t understood yet. An English category name followed by a colon is understood (e.g. Work: email Peter). With local AI there’s also ✨ Capture from free text and dictation.
From the iPhone: Action button and Control Center
On an iPhone with iOS 18 or later, the Nový úkol (New task) control opens Letos straight in Tasks with the cursor in the quick-add field.
- Action button (iPhone 15 Pro and later): Settings → Action Button, swipe to Controls, tap Choose a Control and pick Letos → Nový úkol.
- Control Center: open it, touch and hold an empty spot, tap Add a Control and find Letos.
- Shortcut: Letos also ships a ready-made Nový úkol shortcut (Settings → Action Button → Shortcut → Letos); it works from Spotlight and Siri too (“New task in Letos”).
If Letos doesn’t show up in the list, open the app once by hand after installing or updating it.
Triage
Triage walks you through tasks one by one: Inbox → Today → Goals → Work → Backlog. For each task press a key:
| Key | Action |
|---|---|
| 1–5 | Priority P1–P5 |
| D / Z / T | Today / Tomorrow / Next week |
| H | Done |
| N / S | Not now / Someday |
| → or Space | Skip |
| Enter | Accept suggestion |
| Esc | Close triage |
The Triage tab shows how many tasks are untriaged. It also includes a morning and evening daily plan with the day’s capacity.
Task detail
The detail shows only the essentials: title, due date, priority and category.
- + Add adds the section you need right now: Description (Markdown), Checklist, Attachments, Subtasks, Dependencies. A section with content stays visible.
- More holds further settings (and shows how many are set): Someday, Reminders, Goal, Recurrence, Estimate (min) and Focus.
- Under ⋯ (More actions) are Move… and Delete.
Task Reminders: At the due time, 30 min before, 1 h before, 1 day before, Default (from Settings) or No reminder. A reminder needs a due date.
Recurrence: Daily, Mon–Fri, Weekly, Every 14 days, Monthly. On completion the next task is created with a shifted due date.
With local AI the detail also has ✨ Suggest subtasks, ✨ Estimate with AI and ✨ Solve with AI. The result is added to the note; nothing is overwritten.
Focus
Focus is a countdown for one task. The focused minutes are added to the task (on the iPhone after Done or when time is up; Cancel discards the session).
- On the computer: in the task detail under More → Focus (Pomodoro).
- On the iPhone: the Start 25 min button in an open task’s detail. The length follows the task’s Estimate (min) (5–120 minutes), otherwise it’s 25 minutes. During a session you see the countdown and the Pause / Resume, Done and Cancel buttons. The countdown keeps going even when you close the app. When time is up, a Focus session over notification arrives (if notifications are on). Only one session runs at a time — starting a new one ends the previous one and adds its minutes.
Dynamic Island and Lock Screen
On an iPhone with iOS 18 or later, a running session shows as a Live Activity on the Lock Screen and in the Dynamic Island: the task title, the countdown and a Done button. Done ends the session; it doesn’t complete the task. A paused session shows the stopped time.
When time is up, the activity shows Time’s up. It disappears within 15 minutes once Letos runs (even briefly in the background); otherwise the system removes it later. Turn Live Activities off in iOS Settings → Letos → Live Activities.
Yearly goals and milestones
The Year view (Letos {year}) shows how much of the year has passed and your yearly goals.
- New goal: title, Why I want this this year and By when (the default is the end of the year).
- You can have at most 5 active goals. No more — park one first.
- A goal is made of steps. You can make a step a quarter milestone and commit to it for this week. Block time reserves time for it in your calendar.
- Each goal shows its pace: the share of time gone versus the share of the goal done.
- Assign a task to a goal in the task detail (More → Goal) or from an e-mail via Task for a goal….
- Weekly look back walks you through what moved, once a week.
- Parked goals are in the Beyond this year section.
Progress and streaks
- A goal’s progress is counted from its steps only. Tasks without a goal, and the goals themselves, do not count towards progress or streaks.
- In the Year view, 🔥 shows the weekly streak: how many weeks in a row (Monday to Sunday) you finished at least one goal step. A week in progress does not break the streak; only a whole week without a finished step does. The goal timeline also shows the “longest run”.
- In Tasks, the header shows a daily streak, “days in a row with a step toward a goal”. It counts both planning a step and finishing one. The weekly review sums it up as “… days in a row with a step toward a goal — great!”.
A task for a goal from mail and Triage
When it makes sense, Letos offers a To goal: {title} chip on an e-mail and in Triage. One tap creates a task already linked to the goal, Another goal… offers the other goals, and Don’t suggest a goal hides the suggestion for that thread. Once linked, you see “Filed under goal: {title}”. The chip also says why: “You already have tasks from this thread under this goal”, “You already have N tasks from this sender under this goal” or “The topic matches the goal’s title, reason or steps”. The suggestion is worked out on your device and nothing is sent anywhere. Turn it off in Settings → Tasks → Suggest goals during triage. If linking fails, Letos says “The task could not be linked to the goal”.
All steps done
When an active goal has all its steps finished and no next one, its detail shows the All steps done 🎉 card instead of a next step. You can finish the goal or add the step that is still missing. The card goes away once you add a step or reopen a finished one.
Exporting letos.md
The letos.md button copies a one-page summary of your year (goals, why, quarter milestones, this week) to the clipboard. You can paste it into any AI assistant. Letos doesn’t send it anywhere.
Plan a goal
A goal without steps offers Break it down (with AI turned on on a Mac, Plan with AI, see AI). You’ll find it on the goal card in the Year view, in the goal’s detail (as Re-plan once a goal has steps) and in the New goal dialog — there the goal is only created when you confirm the plan.
- Pick a template: Read books, Run a half marathon, Learn a language, Save money, Side project or My own goal. For books and savings you pick how much right away.
- Answer five questions (what, why, how you’ll know it’s done, by when, how much time a week).
- Review the goal, one milestone for each remaining quarter and the first tasks for two weeks on one screen. Every row can be edited, unticked, removed and reordered.
- Add selected saves only the ticked rows; Undo in the confirmation removes the whole plan.
Milestones are saved as steps that run until the end of their quarter, first tasks as steps for the week you plan to do them. The first task becomes the goal’s current step. The goal’s measure is saved in its note as “Done when: …”. Optionally you can look for free time in Google Calendar; only the ticked blocks are written to the calendar.
On iPhone, Break it down is in the goal’s detail and works with templates.
In the New goal dialog the template entry is Plan from a template; on a goal card it is Break it down. Their hint says “Break the goal into quarterly milestones and first tasks.”
Dependencies
In the task detail, add the Dependencies section and click + Add blocking task. Until the blocking tasks are done, the task isn’t suggested, goes to the end of the list and shows a 🔒 icon. The blocking task shows a Blocks: line.
Link in the title: when a task title contains an http(s)://… address, a link icon appears next to it (in the detail, a link under the title) that opens it in your browser; clicking the card itself still opens the detail.
Tasks from mail and calendar
- From an e-mail: in the thread toolbar, Task → Create task from email. The task is created in the Inbox with a link to the e-mail and can take over its attachments.
- By dragging an e-mail (desktop and web): drop a message from the list on Today at a glance → a task for today, or on Tasks in the top bar → a task in the Inbox. The confirmation offers Open task and Undo; the same message never makes a second task (see Mail).
- From an event: Create a task from the event in the event form.
- Automatically: with a rule using the Create task action (see Mail).
Import
You can do a one-time import of a Trello board (JSON) in Settings → Tasks.
